FINANCE ADMINISTRATOR
JOB DESCRIPTION
We are seeking a part time Finance Administrator to join our small and friendly team at the Suzanne Sparrow Plymouth Language School in Plymouth. We are a private, family run language school, teaching English as a foreign language to international students. The ideal candidate will have experience of accounting software, excellent communication skills, and be able to work independently as well as part of a team. Reporting to the Principal and Vice Principal, the successful applicant will be responsible for a range of finance duties essential to the successful running of the school.
LIST OF DUTIES
- Student Invoicing:
- Invoicing students and groups through Class System
- Allocating income on Class and on Quickbooks
- Reconciling receipts
- Debt collection
- Paying of agent commission
- Processing of any refunds
- Homestay payments:
- Running weekly accommodation payment reports on Class every Monday
- Adding any manual adjustments
- Paying homestay providers via direct bank transfer and weekly bacs run
- Sending remittances
- Resolving any homestay payment issues
- Suppliers (Purchase Ledger)
- Adding supplier invoices to Quickbooks
- Paying suppliers using internet banking
- Matching payments though the bank feed
- Online filing of supplier bills and related payments
- Student Income (Sales Ledger)
- Identifying student income through the bank feed on Quickbooks
- Adding the payments to the student or agent account in the Class Ledger
- Matching payments through the bank feed as a sales receipt
- Other
- Ordering stationery and supplies for the school
- Maintenance of the Petty Cash book and spreadsheet
Applicant Profile
Candidates should:
- Be educated to degree level
- Have experience of accounting software (e.g. Quickbooks) and proficiency in Microsoft Excel
- Have previous experience in a finance role
- Have experience of CRM/Databases
- Have excellent communication skills and command of the English language, both written and verbal
- Have excellent organisational skills
- Be able to work independently as well as part of a team
References will be obtained and a DBS check carried out prior to employment being offered, in line with the School’s Safer Recruitment and Safeguarding Policies.
Contract Type
Permanent, part time.
3 month probationary period
Working Hours
16 hours per week – over 3 days per week, start and finish times negotiable, but must include Mondays and Wednesdays.
Salary
£24,000-£28,000 p/a (pro-rata £10241.92-£11947.52) depending on experience
